Job Description

Role Purpose:

The Administrative Coordinator will provide comprehensive administrative support to the VP of Investor Relations and Corporate Strategic Finance and the broader team, which consists of 10 members. Reporting to the Chief Financial Officer, this role is critical in a high-impact, high-visibility group. The role is suited for someone experienced in managing multiple stakeholders, including senior executives, in a dynamic work environment.

Key Responsibilities:

  • Executive Support: Manage the VP’s calendar with flexibility and professionalism, adapting to last-minute changes and requests.
  • Travel Coordination: Arrange and manage both domestic and international travel, preparing detailed itineraries and briefing documents for executives.
  • Administrative Tasks: Handle various administrative duties such as submitting expense reports and maintaining briefing books.
  • Budget Management: Oversee team budget activities, including setting up purchase orders, approving invoices, and monitoring expenditures.
  • Team Events: Organize team events and support new team members’ onboarding processes. Manage day-to-day team logistics like vacation schedules and company event awareness.
  • Project Support: Potentially contribute to additional projects, such as the weekly newsletter or other key events.

Required Qualifications:

  • Education and Experience: High school diploma with at least 3 years of senior administrative experience. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and MS Teams.
  • Skills: Excellent written and verbal communication skills, attention to detail, and the ability to handle confidential information with discretion.
  • Attributes: Proactive approach, strong time management and organizational skills, and the ability to work independently with minimal supervision.

Preferred Qualifications:

  • Education: Associate’s degree or higher.
  • Experience: 5+ years of experience, including 3+ years supporting an Executive Director or VP level and experience in the pharmaceutical/biotech industry or financial functions.
  • Global Experience: Previous experience in a global company is advantageous.

Compensation and Benefits:

  • Salary Range: $107,270.00 – $138,820.00, based on factors such as experience, qualifications, and location.
