Job Description

Role Overview: This position involves supporting the successful delivery of projects within the Digital, IT, and Facilities program. Reporting to the Senior Project Manager and working closely with multiple project leads, you’ll play a key role in ensuring projects are delivered on time, meet high-quality standards, and fulfill requirements. The role requires collaboration across the organization.

Key Responsibilities:

  • Project Documentation: You will be instrumental in setting up and maintaining key project documents such as plans, business cases, and risk registers. Project Managers and the management team will guide you in establishing the methodology for these documents.
  • Team Coordination: Work closely with the management team to coordinate project teams, working groups, and program governance. Ensure the involvement of the right stakeholders and maintain a consistent rhythm in the program.
  • Workload Management: Manage your own workload under the guidance of the Senior Project Manager. Prioritize tasks to meet critical project deadlines and requirements.
  • Stakeholder Relations: Build and maintain strong relationships with various internal and external stakeholders, ensuring smooth project execution.

Job Description:

  • Program Coordination: Support the overall management and coordination of the program. Work closely with project leads to ensure effective project setup and accurate documentation.
  • Risk and Issue Management: Assist in managing and tracking plans, risks, and workstreams. Ensure that dependencies, risks, issues, and milestones are accurately documented and escalated to senior colleagues for appropriate management.
  • Governance and Assurance: Support the planning and implementation of governance and assurance activities. Set up systems to ensure they are scheduled and executed well in advance.
  • Reporting Mechanisms: Help establish and coordinate reporting systems, ensuring that teams contribute effectively to reports for senior management.
  • Resource Recommendations: Make recommendations on resource requirements to the Senior Project Manager.
  • Learning and Development: Support the wider team with learning and development to promote good delivery practices.

Person Specification:

Essential:

  • Experience working in a project/program environment.
  • Ability to manage multiple workstreams dynamically and agilely.
  • Familiarity with project management methods.
  • Experience in stakeholder management and engagement at all levels.
  • Excellent written and verbal communication skills that are clear and concise.
  • Strong analytical and problem-solving skills.
  • Proven ability to identify risks and issues and escalate them promptly with proposed solutions.
  • Solution-oriented mindset with the ability to work at a fast pace and handle ambiguity.
  • Understanding of the need for collaboration across multiple projects.
  • Experience in creating and maintaining effective project plans and related documentation.
  • Strong planning and organizational skills with the ability to reprioritize as needed to meet deadlines.

Desirable:

  • Working towards project management qualifications (e.g., Prince2, APM).
  • Previous experience in a regulatory or governmental organization.

Benefits:

  • Salary: Circa £34,000
  • Civil service pension with a 27% employer contribution rate.
  • Flexible and hybrid working options.
  • 26 days of annual leave, increasing to 29 days after two years of service, with an option to buy up to five additional days.
